Summit Workforce Pte. Ltd. (“Summit Workforce”, “we”, “us”, or “our”) respects the privacy and confidentiality of every individual’s personal data.
This Privacy Notice explains how we collect, use, disclose, and protect your personal data in accordance with the Personal Data Protection Act (PDPA) of Singapore and other applicable data protection regulations.

 

A. INFORMATION WE COLLECT

“Personal Data” refers to any information that can identify you or be used to identify you. This may include, but is not limited to:

  • Details provided when you complete our Candidate Data Form or update your records with us, such as your name, photograph, contact details, and work history.

  • All documents submitted to Summit Workforce, including resumes, identification documents, educational certificates, and employment records.

  • Messages or communications you send to us via email, our website, or messaging platforms that may contain your personal details.

  • CCTV/security recordings, biometric, or GPS/location data (where relevant and permitted by law).

B. PURPOSES FOR COLLECTING PERSONAL DATA

By submitting your personal data to Summit Workforce, you consent to our collection, storage, and processing of your information for the following purposes:

  1. Recruitment & Placement:

    • Assessing your suitability for roles with our clients or within Summit Workforce.

    • Processing job applications, work permits, or deployment-related documentation.

  2. Verification:

    • Verifying details with third parties such as educational institutions, previous employers, or credit/reference agencies.

  3. Service Provision:

    • Delivering recruitment, payroll, or workforce-related services offered by Summit Workforce.

  4. Marketing & Updates:

    • Sending relevant job opportunities, recruitment updates, or manpower insights (only with your consent).

  5. Compliance & Business Operations:

    • Meeting legal, regulatory, or internal governance requirements.

    • Supporting business operations such as audits, tenders, or government submissions.

  6. Security & Fraud Prevention:

    • Detecting, preventing, or addressing unlawful activities, misconduct, or security breaches.

  7. Third-Party Collaboration:

    • Sharing data with partners for payroll, insurance, accommodation, or other HR-related support functions.

C. DISCLOSURE OF PERSONAL DATA

Summit Workforce may disclose or transfer your personal data to the following parties, only when necessary and lawful:

  • Clients to whom you are or may be introduced for employment opportunities.

  • Service Providers such as insurance firms, payroll agents, IT vendors, and auditors.

  • Regulatory and Statutory Bodies, including the Ministry of Manpower (MOM) and other authorities.

  • Third-party partners assisting in training, deployment, or accommodation arrangements.

  • Any individual or organisation to whom you have provided prior consent.

You confirm that any referees or contacts you have listed have given their consent to Summit Workforce to use their personal data for verification purposes.

D. CONSEQUENCES OF NOT PROVIDING PERSONAL DATA

Failure to provide complete and accurate personal data may result in Summit Workforce being unable to:

  • Process your job application or placement;

  • Fulfill contractual obligations to you or our clients;

  • Provide certain services or benefits.

E. STORAGE & RETENTION

Your personal data will be securely stored:

  • In physical files within Summit Workforce’s registered office; and/or

  • On secure digital servers operated by Summit Workforce or its appointed service providers (within or outside Singapore).

Data will be retained only as long as necessary to fulfil the stated purposes, comply with regulatory requirements, or for legitimate business needs.

F. CONFIDENTIALITY

Summit Workforce treats all personal data with strict confidentiality and safeguards it in accordance with PDPA requirements.

Non-personal data (e.g., general feedback or testimonials) may be used freely for lawful business or marketing purposes.

We employ appropriate technical and organisational measures — including encryption, access control, and secure data management systems — to ensure your personal data remains protected against unauthorised access, alteration, or misuse.

H. CROSS-BORDER TRANSFER

Your personal data may be transferred or stored outside Singapore as part of operational or placement processes. Summit Workforce ensures that all overseas partners maintain adequate data protection standards consistent with the PDPA.

I. ACCESS, CORRECTION & WITHDRAWAL OF CONSENT

Under the PDPA, you have the right to:

  1. Request access to your personal data held by Summit Workforce;

  2. Request correction of any inaccurate or outdated data;

  3. Withdraw consent to the use or disclosure of your personal data.
